Build Regulations: Space Only Booths
If you have secured a custom/space-only booth at ViVE, you will be assigned a designated space on the show floor for your booth build.
Please note that you or your appointed contractor is responsible for ordering all necessary services (such as electricity, internet, carpeting, rigging, and more) and for ensuring that the booth’s design and construction comply with all applicable venue and show regulations.
📐 As a minimum, you must provide:
- Walling (minimum of 8 feet) to any closed sides (as standard and without prior approval, walling can be no more than 12 ft high, to include any platform. )
- Flooring to complete booth space (you may also wish to consider a platform to avoid issues with trip hazards if you have extensive cabling) (Carpeting/floor covering may be ordered through T3 Expo).
- All digital or LED features must be fully installed/finished by show open. ViVE reserves the right to request removal if any elements violate show regulations.
- A method of displaying your booth number and company name
🗂️ In addition, please note the following show regulations:
Walling:
- All 10’x20’ inline booths have a maximum back wall height limitation of 8’ high and will be set with an 8’ high backwall that cannot be removed.
- There are no side panels/dividers placed between 10'10' and 10'x20' in-line booths.
- Side panels are allowed for in-line booths on space only builds but must not exceed 5 ft wide x 3 ft high.
- Branding must face inward, not outward toward neighboring booths or aisles. Non-compliant elements may be modified or removed onsite at the sponsor’s expense.
- Booths that are 400 sq feet (20’x20’) and larger and have aisles on all four sides (island booths) are permitted to a max height restriction of 20’ high, measuring from the floor to the top of the booth structure or hanging sign to include platforms.
Branding and signage:
- Hanging signs may be rigged above booths at a maximum height of 20 ft to the top of the hanging sign. Hanging signs are only permitted above 20'x20' and larger booths.
- The reverse of walls over 8ft must be dressed in white down to the height of 8ft.
- No graphics/branding may be applied to the reverse of any party walling that overlooks neighboring booths.
- Any branding facing your neighbor's booth (if you are back to back with another booth) must be stepped in by a minimum of 3ft.
General:
- Your custom build, materials, and dressing items must comply with event rules and regulations.
- Your custom build, materials and dressing items must comply with venue regulations. See here for details.
- Your custom build contractor must comply with Exhibitor Appointed Contractor (EAC) regulations and submit all required paperwork and documentation. ( Form submissions can be found here for 10'x20' and here for 20'x20' & larger).
- All booths should be fit for the purpose intended, structurally sound, and safe to build, use, and demount in the allocated timeframe, without any risks.
- Single-use materials and designs are discouraged. Please consider the sustainability of your booth. As part of the booth plan approval process, you will be asked to share information on the environmental impact of your build.
- Power must be ordered separately from Edlen. All power cords must be confined to the Exhibitor’s space. Exhibitors are not permitted at any time to run power cords across or underneath the exhibit hall aisle carpet or any area outside of their allocated space.
To ensure the safety and compliance of all booths at the event, please submit the required information and documentation. Once your booth plan submission is reviewed by ViVE, you will also need to provide your Exhibitor Appointed Contractor (EAC ) form and Certificate of Insurance (COI).
Please note that construction cannot begin until you have received confirmation from the ViVE team.
📃 Booth plan submission requirements:
To receive authorization to build at ViVE 2026, you will need to submit the following documents by Friday, January 9.
- A copy of the plan view, showing dimensions and positions of walling, features, major exhibits & demonstration areas. To include the height of any platform.
- Plan showing the location (and orientation) of the booth within the show floor.
- Elevations with full dimensions, including full steelwork and staircase details (if applicable).
- Width and position of walkways within the booth.
- Specification of materials used.
- On-site contact details for your booth builders/designers.
- Certificate of Insurance (COI) - see here for requirements.
Your plans should all include a reference to your booth name and booth number and be produced for this event. It is not permissible to submit information for past events.
Please be aware that once the authorization form has been issued, any changes or amendments to the build will need to be resubmitted.
If your stand has any of the following you will also require a permit under the LACC's Temporary Structures guidelines
- Structures and exhibits with any of the following elements are defined as temporary structures that require review/approval by LACC managed along with LADBS permit.
- Structures over 12’ in height
- 2-story structures
- Platforms and stages exceeding 30 inches in height above the floor intended to carry live load, or stair/steps exceeding 48 inches in height above the floor intended to carry live loads.
- Expansive (15’ or more) 1-story structures that contain: overhead beams; signage; truss; cantilevers; etc., of considerable weight and/or span
- Video wall structures exceeding 12’ in height (single or multiple screens)

👷♀️EAC's
If your company plans to bring in the services of any independent contractors other than T3 Expo, you must complete and submit the EAC form and the EAC’s Certificate of Insurance through your sponsor portal task list no later than Friday, January 9.
To submit the EAC form, please reference the designated task in your sponsor portal.
This is a mandatory security requirement to permit EACs access to your booth during move-in and move-out. EACs who arrive onsite and have not been registered will be required to provide this information, including their Certificate of Insurance (COI) before they are permitted access. This may lead to delays in your booth being built or access refused if they cannot produce the documents required.
☔️ Insurance
Booth Packages, Turnkeys, Meeting Pods, Meeting Cubes, and Pavilion Kiosks: ViVE will provide general liability insurance that satisfies all required insurance coverage for ViVE 2026. This applies exclusively to exhibitors with the booth types listed above, who hold a direct contract with ViVE and T3 Expo and are not required to submit their own insurance documentation.
10x20 Space-Only Booths (with Pre-Fixed Backwall): If you plan to build your own booth or bring a pop-up wall, ViVE will provide the necessary liability insurance that fulfills all insurance requirements for ViVE 2026. If you plan to use an outside contractor for your booth build, a Certificate of Insurance (COI) must be submitted by the contractor to ViVE Show Management before access will be granted for build or move-in.
For Larger Custom/Raw Space Booths: If utilizing an outside contractor, not working directly with T3 Expo, all Exhibitor Appointed Contractors (EACs) must maintain the following insurance from the first day of their move until the last day of their move out at ViVE. No access to the floor will be granted without insurance coverage. See below for more information.
Requirements:
As a standard requirement for all our applicable show exhibitors, it is necessary for you to carry general liability coverage from an insurance company in good standing with minimum policy limits as stated below. Insurance coverage for Exhibitor Appointed Contractor is mandatory.
Such insurance shall include contractual liability and product liability covered with the following limits:
- COMMERCIAL GENERAL LIABILITY (EXHIBIT HALL EVENTS): This General Liability insurance shall include limits of liability of not less than $1,000,000 Each Occurrence combined single limits for bodily injury and property damage, $5,000,000 General Aggregate limit, $1,000,000 Personal Injury limit, and $2,000,000 Products-Completed Operations Aggregate limit;
- COMMERCIAL GENERAL LIABILITY (MEETING ROOM EVENTS): This General Liability insurance shall include limits of liability of not less than $1,000,000 Each Occurrence combined single limits for bodily injury and property damage, $2,000,000 General Aggregate limit, $1,000,000 Personal Injury limit, and $2,000,000 Products-Completed Operations Aggregate limit;
- AUTOMOBILE LIABILITY: Commercial Automobile Liability insurance for all owned, non-owned and hired vehicles in amounts not less than $1,000,000 each accident for bodily injury and property damage, and including loading and unloading hazards;
- UMBRELLA LIABILITY / EXCESS LIABILITY (EXHIBIT HALL EVENTS ONLY) policies must follow the form of the underlying primary policies (except Workers’ Compensation) with minimum limits of four million dollars ($4,000,000) per occurrence.
- WORKERS COMPENSATION with statutory limits as required by law and Employer’s Liability Insurance covering legal obligation to pay damages for bodily injury or occupational disease (including death) sustained by an employee with minimum limits of: $1,000,000 bodily injury by accident; $1,000,000 bodily injury by disease; $1,000,000 policy limit.
- All required insurance policies shall name AEG MANAGEMENT LACC, LLC, the City of Los Angeles, ASM Global Parent Inc. and each of their respective affiliates, licensees, lenders and contractors, as well as each of their respective officers, directors, partners, members, shareholders, employees, agents, representatives successors as Additional Insured.
- EACs must name HLTH, Inc. and T3 Expo, LLC as additional insureds.
