ViVE 2027 | Booth Plan Submission Process & Build Regulations

If you have purchased a space only booth, you will be allocated a designated area on the show floor to build your booth.

You and/or your contractor are responsible for ordering all services (carpeting, electrical, internet, rigging, labor, etc.) and ensuring the booth's design and construction comply with all venue and show regulations.


📐 As a minimum, you must provide:

  • Flooring to complete booth space (you may also wish to consider a platform to avoid issues with trip hazards if you have extensive cabling) (Carpeting/floor covering may be ordered through T3 Expo).
  • All digital or LED features must be fully installed/finished by show open. ViVE reserves the right to request removal if any elements violate show regulations.
  • A method of displaying your booth number and company name.

🗂️ In addition, please note the following show regulations:

Walling - 10x20 In-Line Booths:

  • All 10x20 in-line booths have a maximum back wall height limitation of 8 ft and will be set with an 7.75 ft h white backwall that CANNOT be removed.
    • Sponsor provided back wall must not exceed 8 ft and leave enough space for the 7.75 ft white backwall.
  • All 10x20 inline booths may include side panels, provided they do not exceed 5 ft wide by 3 ft high.
  • Branding on side panels must face inward and may not be visible from neighboring booths. Any non-compliant elements may be modified or removed onsite at the sponsor’s expense.

Walling - Island Booths (20x20 & Larger, Aisles On All Four Sides):

  • Structures/Walls: While walls are permitted, standard practice is to keep them between 8 - 12 ft high.
  • Rigging (maximum) height: The absolute maximum height is 20 ft total to the top of the structure or hanging sign.
  • Visibility Expectations: If enclosing more than one-third of any side, solid walls should be avoided where possible. The intent is to maintain open sight lines, so shorter walls, see-through materials, or stepped/tiered designs are encouraged.
  • The goal is to keep island booths feeling open and accessible while preventing large solid structures from blocking neighboring booths or disrupting flow.

Branding & Signage:

  • Hanging signs may be rigged above booths at a maximum height of 20 ft to the top of the hanging sign. Hanging signs are only permitted above 20'x20' and larger booths.
  • No graphics/branding may be applied to the reverse of any party walling that overlooks neighboring booths.
    • The reverse of walls over 8 ft must be dressed in white down to the height of 8 ft.
    • Recommend the use of low height walling, translucent materials or stepping the walling in, to help maintain visibility for neighboring booths.

General:

  • Your custom build, materials and dressing items must comply with venue regulations. See here for details.
  • Your custom build contractor must comply with Exhibitor Appointed Contractor (EAC) regulations and submit all required paperwork and documentation. Submission info is explained in the following sections.
  • All booths should be fit for the purpose intended, structurally sound, and safe to build, use, and demount in the allocated timeframe, without any risks.
  • Single-use materials and designs are discouraged. Please consider the sustainability of your booth.
  • Power must be ordered separately from Event Service Electrical. All power cords must be confined to the Exhibitor’s space. Exhibitors are not permitted at any time to run power cords across or underneath the exhibit hall aisle carpet or any area outside of their allocated space.

Build Plan Requirements:

Your plan must clearly show:

  • Overall booth dimensions
  • Exact positions and dimensions of:
    • Walls and structural elements
    • Platforms (including height)
    • Major features (e.g. stages, demo areas, enclosed rooms, storage)
    • Large exhibits or equipment
  • Width and location of all internal walkways
  • Booth’s position within the show floor
  • Orientation (i.e. where the aisle frontage is)
  • Clear indication of which sides are open to aisles
  • Height of all structures and features
  • Rigging heights (if applicable)
  • Steelwork / structural framework (if applicable)
  • Staircases (including dimensions and positioning, if applicable)
  • Materials used for walls, structures, flooring, and features
  • Any glass elements
  • Finishes (e.g. fabric, vinyl, timber, metal, etc.)

Insurance Requirements:

All space only booths are required to submit their own compliant insurance in order to be permitted to build. Please take note of the requirements below.

COI Requirements:

Exhibitor/EAC must maintain the following insurance from the first day of their move until the last day of their move out at ViVE. No access to the floor will be granted without insurance coverage. Such insurance shall include contractual liability and product liability covered with the following limits:

  1. This General Liability insurance shall include limits of liability of not less than $1,000,000 Each Occurrence combined single limits for bodily injury and property damage, $1,000,000 General Aggregate limit, $1,000,000 Personal Injury limit, and $1,000,000 Products-Completed Operations Aggregate limit;
  2. Commercial Automobile Liability insurance for all owned, non-owned and hired vehicles in amounts not less than $1,000,000 each accident for bodily injury and property damage, and including loading and unloading hazards;
  3. Worker's Compensation, insurance within statutory limits and, Employers Liability Limits of not less than $1,000,000 each accident, $1,000,000 disease - each employee and $1,000,000 disease - policy limit
  4. Such additional insurance that Licensor may require in its discretion from time to time
  5. The policies must name HLTH, INC. and T3 Expo, LLC  as additional insured

📁 Submission Process

All space only builds require clearance in advance to ensure they meet venue and show requirements and can be installed smoothly onsite.
